Work + Dispatch

Documented work. Reviewed handoffs. Explicit responses.

A FAMILIAR HANDOFF

A finished job. An unfinished record.

The photo is on a phone. The checklist is in a spreadsheet. Approval is buried in a message. When the customer asks what happened, the team starts searching.

01

Which photo belongs to this job?

02

Which version did the manager review?

03

What did we actually send to the customer?

Keep the evidence with the operation, and the decision with its exact version.

TWO DISTINCT WORKFLOWS

One place to record. Two ways to hand over.

01 / Work

Document completed work before it reaches the customer.

Assign a job, capture required evidence and submit it for review. Publish only the reviewed information you choose. The customer views a verified report and gives an explicit response.

Submitted is not approved. Approved is not published. Published is not accepted.

02 / Dispatch

Check what is packed. Authorize what may leave.

Record an exact manifest, packing checks and evidence. Keep manager authorization separate from the actual departure. Share a readiness or departure report for the right stage.

010203

Ready is not departed. A recipient notice is not delivery or acceptance.

FOLLOW THE RECORD

From the person doing the work to the person making the decision.

Select a workflow and a step. See what is recorded, who acts next and what the state actually means.

Work

  1. A named employee receives the job. Assignment determines who may record or submit its work.

  2. Checklist answers, photos and documents stay with this job. Required evidence must be complete before finalization.

  3. A manager reviews the exact submitted version, approves it or requests a correction. This is an internal decision.

  4. The company explicitly publishes selected reviewed information. Internal notes do not become public automatically.

  5. The verified recipient responds to that published version. Viewing a report never manufactures acceptance.

Dispatch

  1. Record items and exact quantities. Use serial and accessory checks when the selected rules require them.

  2. Record packaging, passing required inspections and bound evidence before submitting preparation for review.

  3. A manager authorizes the exact preparation version. Material changes require withdrawal and a new review.

  4. An authorized user separately records actual departure. Readiness does not mean that the shipment has left.

  5. A publication may notify the recipient about the relevant stage. A notice is not physical delivery or acceptance.

A CLEAR CUSTOMER HANDOFF

Send the reviewed record. Ask for a clear response.

A report contains only the reviewed information selected for publication. The recipient verifies their email before viewing it. Opening a link or downloading a PDF never counts as acceptance.

Manage company membership and module permissions with mandatory privileged-account MFA. Ownership does not replace record permissions.

A CONTINUING RECORD

One piece of equipment. Its connected history.

When your company uses both modules, link authorized Work and Dispatch records to the same registered asset. See the permitted history without changing source records or expanding customer access.

FAQ

Good questions. Straight answers.

FAQ
01Can we use just one module?

Yes. Work and Dispatch are independent module options; Complete includes both. Access still follows each person’s role and assignment.

02Does the customer need an account?

A report recipient does not need an employee account. Access requires the intended email address to be verified and a current grant to the specific published version.

03Is a submitted job already accepted?

No. Submission, internal review, publication and the customer’s explicit response are separate events. An opened link is not acceptance.

04Does Dispatch track delivery?

It documents preparation, manager authorization and actual departure. It is not carrier tracking, proof of physical delivery or a delivery-acceptance claim.
